Idea Tuesday:  How to document every customer interaction without duplicating your efforts.

I think all sales people want to have their notes for their sales calls documented in their CRM system for future reference.  However, I’d guess that less than 10% actually take the time to type their notes into their system.  Although I believe they are losing a ton of valuable information that can serve as differentiators on future sales calls, I understand their behavior.  After taking five pages of notes, the last thing any sales professional wants to do is take 30 minutes to type those notes into a CRM system.  Saving the notes in a manual file isn’t productive either – as the last 25 years of CRM evolution has proven.  So, what can we do?

Idea for this Tuesday:  Instead of duplicating your efforts or sticking your hand-written notes in a file cabinet, try this simple technique: take a photo of your notes with your phone and upload the pictures to your CRM system as an attachment.  You might not be able to fit the whole page in one photo, but that’s ok – take more than one picture for every page.  Be sure to number your pages so you save the attachments in the right order.  Finally, reserve the top of page one for action items, and list them in an organized fashion so you can easily assign your tasks.  I use this technique in One Note also.   

This strategy takes some time, but probably a fifth of the time that typing in your notes takes.
